- Most no-shows are forgotten or inconvenient appointments, not lost interest.
- Send a confirmation immediately and reminders about 48 and 2 hours before.
- Two-way confirmations and one-tap rescheduling turn no-shows into reschedules.
- Deposits and clear policies work for high-value appointments when applied fairly.
- A rebooking message within minutes of a missed appointment recovers many of them.
No-shows cost more than the missed appointment. The slot can’t be resold, staff time is wasted and the client often drifts away. The good news is that most no-shows are preventable: people forget, schedules change and rescheduling feels like a hassle. This playbook covers the automations that address each cause.
Why people miss appointments
| Cause | Fix |
|---|---|
| They forgot | Well-timed reminders on the channel they use |
| Something came up | Easy, one-tap rescheduling |
| They booked too far ahead | Extra reminders for long lead times; shorter booking windows |
| They weren’t committed | Confirmation step, deposits for high-value services |
| Logistics were unclear | Directions, parking and preparation in the reminder |
Step 1: Confirm immediately
Send a confirmation within seconds of booking by SMS and email: date, time, location, what to bring and how to reschedule. An immediate confirmation also catches booking mistakes early.
Step 2: Time your reminders
- 48 hours before: reminder with a request to confirm or reschedule. This leaves time to refill the slot.
- 2 hours before: short reminder with directions or arrival instructions.
- For appointments booked weeks ahead: add a reminder a week before.
SMS usually gets the fastest attention for reminders; email carries details. Keep texts short; our SMS counter helps you stay within one segment.
Step 3: Make confirmation two-way
“Reply C to confirm or R to reschedule” turns a passive reminder into a decision. Confirmations give you a clearer picture of the day; reschedule replies trigger a booking link or an AI assistant that offers new times immediately. Unanswered reminders can trigger a quick call from staff or an AI booking agent.
Step 4: Make rescheduling easier than skipping
If rescheduling requires a phone call during office hours, many people simply don’t show up. A link or text conversation that offers available slots removes that friction, and most clients prefer rescheduling to letting you down.
Step 5: Use deposits and policies where they fit
Step 6: Fill cancellations from a waitlist
When someone cancels or reschedules, automatically text clients on a waitlist for that service or provider, and book the first to accept. A cancellation two days out becomes a filled slot instead of a gap.
Step 7: Recover no-shows within minutes
When an appointment is marked no-show, send a friendly message within about 15 minutes: “We missed you today, no worries. Would you like to rebook? Here are the next openings.” Speed and a non-judgmental tone recover many of these clients. If there’s no reply, add a follow-up the next day and a task for staff.
Step 8: Measure your show rate
| Metric | How to calculate |
|---|---|
| Show rate | Attended appointments ÷ booked appointments |
| No-show rate | No-shows ÷ booked appointments |
| Reschedule rate | Rescheduled ÷ booked (higher is fine if no-shows fall) |
| Recovery rate | No-shows who rebooked ÷ total no-shows |
Record a baseline for a month, roll out the steps above and compare. Review which reminder timing and wording earns the most confirmations.
Setting it up in GoHighLevel
All of this can run from a handful of GoHighLevel workflows triggered by appointment status: booked, confirmed, cancelled and no-show. See workflows 5, 6 and 7 in our GoHighLevel workflow examples, and the AI booking bots guide for booking automation.
